Maintain a maintenance visit access log

A maintenance appointment combines access, scope and evidence of completed work. Keep those items together so the operator knows who entered, what was authorized and which follow-up remains. The log should avoid storing reusable access credentials in an unrestricted project document.

Gather the source records before completing the worksheet. A missing record should remain an open question. Keep the original alongside any summary so the next person can trace the decision.

Work through the decision

  1. Confirm the visit scope and responsible contact.
  2. Arrange access through the agreed secure process.
  3. Record arrival and completion status.
  4. Review follow-up work before closing the order.

For each action, name the person responsible for preparing the response and the person who approves it. Record what evidence would close the item. If new information changes cost, timing or scope, update the affected plan and identify who needs the revised version.

Common failure to avoid

A vendor visit does not prove the issue was resolved. Keep the requested outcome and the completion evidence visible as separate fields.

Worked example

A hypothetical technician attends to inspect an appliance but needs a replacement part. The log records the diagnosis, leaves the work order open and assigns the next appointment rather than marking the repair complete.
