Build a service-provider backup roster
A backup roster records who can respond when the regular provider is unavailable and what each backup is authorized to do. Confirm capability, coverage area, contact method and the need for owner approval. A saved phone number alone does not establish that a provider has accepted the role.
Evidence to assemble

Work through the decision

- Record how access and approval will work.
- Recheck the roster after staffing changes.
For each action, name the person responsible for preparing the response and the person who approves it. Record what evidence would close the item. If new information changes cost, timing or scope, update the affected plan and identify who needs the revised version.
Common failure to avoid
Do not send sensitive property access information to every vendor on the roster. Share it through the operator’s agreed access process only when needed.
Worked example
An illustrative operator confirms a backup cleaner for specific days but still needs separate coverage for repairs. The roster keeps the two roles distinct and records who authorizes nonroutine work.
